Private workshop booking terms â€‹

1. Booking Confirmation

A booking is considered confirmed once the workshop details have been agreed in writing by email and a confirmation email has been sent by us.

No signed booking form or invoice payment is required for a booking to be considered confirmed. All confirmed bookings are subject to this Booking Policy.

Confirmation by email constitutes acceptance of these terms, regardless of whether an invoice has been issued at that stage.

2. Payment Terms

All invoices are payable within 30 days of the invoice date.

Late or non-payment may result in future bookings being declined and may be pursued in line with our standard credit control procedures.

3. Cancellations by the Client

  • No cancellations are permitted within 30 days of the workshop date.

  • Cancellations made within 30 days of the event will be charged at 100% of the total booking value.

All cancellations must be made in writing by email.

4. Changes to Guest Numbers

All workshops are subject to a minimum booking size, as specified at the time of booking (typically 10 guests).

  • Guest numbers may be revised downwards by any amount up to 30 days before the workshop date, provided the revised number does not fall below the minimum booking size.

  • Guest numbers may be reduced by up to 25% up to 7 days before the workshop date, provided the revised number does not fall below the minimum booking size.

  • If guest numbers are revised downwards below the minimum booking size, charges will still apply based on the minimum booking size.

Within 7 days of the event, guest numbers are final and cannot be reduced.

On request, and subject to availability, additional guests may sometimes be added within 7 days of the workshop. Reductions are not permitted during this period.

Final charges will be based on the confirmed guest numbers or the minimum booking size, whichever is higher.

5. Non-Attendance on the Day

If fewer guests attend than the agreed number, the booking will still be charged based on the confirmed guest numbers. No refunds or credits are provided for non-attendance on the day.

6. Materials and Ownership

All workshop materials remain our property unless otherwise agreed.

During the workshop, and with the instructor’s permission, guests may:

  • Take away unused materials, or

  • Create additional items within the allocated workshop time

Once the workshop has ended, any unused materials not taken during the session are forfeited, and no ownership or entitlement remains.

7. Workshop Duration

Workshops run for the agreed duration only. Requests to extend the workshop on the day are subject to instructor availability and may incur additional charges.

8. Cancellations by Us

In the unlikely event that we need to cancel a workshop due to circumstances beyond our control, including illness, emergencies, or events outside our reasonable control, our liability is strictly limited to a refund of any fees paid.

We are not liable for any additional costs or losses incurred by the client as a result of such cancellation, including venue hire, travel, accommodation, or loss of business.

9. Venue and Client Responsibilities

The client is responsible for ensuring that the venue:

  • Is suitable for the workshop

  • Meets relevant health and safety requirements

  • Provides the agreed facilities, including tables, chairs, and access times

Delays or issues caused by venue access, setup, or breakdown may reduce workshop time and do not entitle the client to a refund.

10. Liability and Damage

We are not responsible for damage to clothing or personal belongings, or for allergic reactions or sensitivities where relevant information has not been disclosed in advance.

The client is responsible for any damage to the venue caused by guests during the workshop.

11. Photography and Marketing

Unless agreed otherwise in writing, we reserve the right to take photographs during the workshop for marketing and promotional purposes. Clients should notify us in advance if photography is not permitted.

12. Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales.
